Please read this document carefully. It is designed to explain how the service works and what we each are responsible for.

01

Scope of This Policy

This Privacy Policy explains how ScribeFuse handles personal information when you visit the website, create an account, upload or link to a recording, use transcription features, manage a plan, or contact support.

02

Information You Provide

Account information may include your name, email address, password credentials in protected form, email-verification information, and subscription status.

Content submitted for processing may include uploaded audio or video, a YouTube URL, file name and type, thumbnail, language selection, and the spoken or visible personal information contained in that material. A contact request includes the name, email address, and message you submit.

03

Information Created or Collected Through Use

The service creates and stores processing records such as a meeting title, file size and duration, transcript segments, speaker labels, summary, action items, processing status, and error information.

ScribeFuse also processes technical and usage information needed to operate and protect the service. This can include an IP address, a browser or visitor identifier, authentication cookies, plan entitlements, usage counts, and diagnostic events when error monitoring is enabled.

04

How Information Is Used

Information is used to create and manage accounts; accept and process recordings; generate transcripts, summaries, action items, and reports; enforce plan limits; provide access to saved meetings; process payments; deliver verification or support messages; troubleshoot failures; prevent abuse; and maintain and improve the service.

05

AI and Service Providers

Processing does not occur entirely on your device. ScribeFuse uploads source material to its server environment and uses configured providers for functions such as speech-to-text, speaker detection, language translation, AI-generated summaries, email delivery, payment processing, infrastructure, and error monitoring.

Those providers receive the information needed to perform their assigned function. Their own terms and privacy practices may also apply. Do not submit a recording unless you have the right to share it for this type of processing.

06

Storage and Retention

Source recordings and generated results are stored server-side so processing can complete and authorized users can return to meeting media, transcripts, summaries, and reports. The current product does not support a public promise that every recording is deleted immediately after transcription or that all meeting data is deleted within a fixed number of days.

Retention can vary according to operational needs, account status, legal obligations, backup practices, and future deletion controls. Contact support if you need to ask about deletion of account or meeting information. Some records may be retained where required for security, billing, dispute resolution, or legal compliance.

07

Cookies and Local Browser Storage

ScribeFuse uses authentication cookies and browser storage to maintain sign-in state, remember the user role, associate eligible guest usage with a browser, and carry a completed meeting into the results experience. Blocking these technologies may prevent account or transcription features from working correctly.

08

Billing Information

Paid-plan checkout and billing management are handled through the configured payment provider. ScribeFuse receives identifiers and subscription information needed to activate and manage access. Payment-card details are entered into the payment provider’s checkout rather than the ScribeFuse contact form.

09

Security and Access

ScribeFuse uses authentication and ownership checks to restrict access to account-associated meeting records and media. No online service can promise absolute security. Use a unique password, keep account access private, and avoid uploading information that is not necessary for your purpose.

10

Your Choices and Responsibilities

You may choose not to provide optional information, although some features require an account, source recording, language choice, or billing information. You are responsible for following applicable recording, consent, confidentiality, employment, and data-protection requirements before submitting content.

11

Policy Changes and Contact

This policy may be updated when the product or its data practices change. The revised date will appear on this page. Questions about privacy, access, correction, or deletion can be sent to support@scribefuse.com. The ability to fulfill a request may depend on applicable law and the information needed to verify the request.
